Team Supervisor – R&D Samples Department

Your Mission 

As Team Supervisor Samples Department, you lead the team responsible for delivering a reliable, efficient and customer-focused sample service to internal stakeholders, affiliates, Innovation Centers and customers worldwide. You ensure that sample requests are handled with clear priorities, accurate coordination, strong follow-up and a high service mindset. Through your leadership, you create structure, ownership and engagement within the team, while improving collaboration with the many departments involved in the sample flow. You continuously look for opportunities to simplify and automate processes, strengthen ways of working and support digitalization, helping the department become more scalable, transparent and future-ready. Your work directly supports innovation, customer responsiveness, future sales and business growth.

What you will do 

• Lead, coach and develop a team of coordinators and technicians, creating a constructive, collaborative and accountable team culture with clear roles, priorities and ways of working.
• Ensure smooth daily operations across the full sample flow, including request analysis, sample preparation, repacking, stock management, shipment coordination and follow-up with internal stakeholders.
• Act as the key escalation point for complex sample requests and service issues, ensuring transparent communication and timely decision-making.
• Build strong relationships with key internal stakeholders within an international work environment, including R&D, different (Strategic) Business Units, Purchasing, Supply Chain, Customer Care, Marketing, Quality, IT, Warehousing, affiliates and other stakeholders to align expectations and improve the service level of the department.
• You support accurate and proactive communication to all relevant stakeholders internally and externally, and request, develop or optimize digital and automation tools in that perspective.
• Review, document and continuously improve processes and service standards to increase quality, efficiency, scalability and operational continuity.
• Drive simplification, digitalization and automation initiatives by optimizing the use of tools such as SAP S/4, Power BI, webshop solutions, OutSystems and other digital platforms.
• Define, monitor and follow up relevant KPI’s and service levels to support data-driven decisions, corrective actions and continuous improvement within the department.

Who are we looking for? 

• You have a Bachelor’s degree and at least 7 years of experience as a team lead/supervisor, preferably with a background in supply chain, warehousing, logistics, customer service, operations or a related field.
• You bring strong people management skills and are able to create trust, clarity and engagement in a team that needs structure, transparency and positive leadership.
• You are confident in making decisions, setting priorities and addressing challenges, combining firmness with empathy.
• You have a strong process mindset and enjoy analyzing ways of working, identifying inefficiencies and implementing practical improvements that make operations leaner and more reliable.
• You are customer-oriented and stakeholder-focused, with the ability to understand business needs, translate them into service improvements and build strong internal partnerships.
• You have a good affinity with digital tools and systems, with SAP knowledge considered important and openness to learning tools such as Power BI, webshop solutions,…
• You communicate fluently in English and French. Dutch is considered a strong asset.
