Project Assistant to the CEO
Your mission as the Project Assistant to the CEO, you will play a pivotal role in ensuring smooth operations at the highest level of the organization. You will support our CEO in his daily work and collaborate closely with internal stakeholders on different projects. Your work will enable our CEO to focus on strategic priorities by providing exceptional administrative support, managing complex schedules, and coordinating key initiatives. This position requires discretion, organizational mastery, and a proactive mindset to drive efficiency and impact.
In this role, you combine hands-on operational excellence with a project assistant mindset, taking ownership of initiatives that improve efficiency, collaboration, and impact across the organization. You support both day-to-day execution and longer-term transformation.
Key Accountabilities
- Organize and maintain our CEO’s complex calendar, prioritizing meetings, resolving scheduling conflicts, and continuously improving planning efficiency through digital tools.
- Act as the first point of contact for our CEO, screening and prioritizing emails, calls, and meeting requests, while leveraging digital workflows and automation where possible.
- Organise company-wide events and CEO travel arrangements, collaborating closely with internal stakeholders and external partners to ensure flawless execution.
- Prepare materials and briefings for board meetings and executive sessions, ensuring compliance with governance standards and introducing digital formats that enhance clarity, accessibility, and follow-up.
- Coordinate logistics for internal and external engagements, including travel arrangements and company-wide events, with a strong focus on structure, anticipation, and digital coordination.
- Take an active role in special projects and strategic initiatives, acting as a project assistant who follows up on actions, timelines, and deliverables, and ensures progress is transparent and well-documented.
- Support digitalisation of daily work practices, by proactively using and introducing tools such as Microsoft 365, collaboration platforms, Copilot, ChatGPT and other productivity solutions.
- Manage sensitive information with the highest level of confidentiality and discretion.
- Process expense reports, maintain records, and continuously optimize workflows, identifying opportunities to simplify, automate, and standardize processes.
Who are we looking for?
- Bachelor’s degree or equivalent experience.
- 5–8 years of experience supporting C-level executives in a fast-paced environment, ideally combined with exposure to project coordination.
- Strong digital savviness and genuine interest in technology, digital tools, and new ways of working.
- Excellent organizational and planning skills, with the ability to manage multiple priorities, projects, and stakeholders simultaneously.
- Excellent written and verbal communication skills in English; proficiency in Dutch and/or French is a strong asset.
- Advanced knowledge of Microsoft Office and Microsoft 365, with hands-on experience or strong interest in collaboration platforms, Copilot, ChatGPT, and workflow optimisation tools.
- High level of discretion and trustworthiness in handling confidential matters.
- Proactive, flexible, and stress-resistant, with a continuous improvement and solution-oriented mindset.
- Comfortable taking ownership, following up independently, and acting as a trusted sparring partner for our CEO.
