POSITION OVERVIEW

Based at our Gauteng – Longmeadow site we are currently seeking a:

DESPATCH COORDINATOR – (Longmeadow Site, South Africa)

Reporting directly to the Operations Executive, the successful candidate for this key function will be responsible for:

Managing the dispatch of finished goods to eight distribution centres and coordinate inbound deliveries of raw materials and packaging. The role ensures accurate stock rotation, batch traceability, and alignment with production and delivery schedules to maintain inventory integrity and minimize obsolescence.

III. – KEY ACCOUNTABILITIES

Outbound (Dispatch to 8 DCs):

• Plan and execute dispatches based on replenishment triggers, stock age, and delivery windows.

• Optimize truck loads and routing to reduce transport costs and turnaround times.

• Coordinate with Operations Managers to align dispatch frequency and offloading capacity.
• Generate and verify dispatch documentation (delivery notes, waybills, invoices, SCTs).
• Verify dispatch quantities and batch numbers, ensuring FIFO (First-In, First-Out) principles are applied.
• Monitor stock age and prioritize dispatch of older batches to prevent expiry or write-offs.
• Request Shelf-life extension for short dated Madein stock before expiry.
• Track and report on dispatch KPIs (e.g. OTIF, batch rotation compliance, DC fill rate).
• Attend to dispatch related queries from the branches.

Inbound (factory receiving):

• Schedule and receive inbound deliveries of raw materials, finished goods, packaging, and consumables.
• Conduct quantity and quality checks, escalating discrepancies.
• Coordinate with procurement and production to align inbound timing with production plans.

IV. – PROFILE

• Matric (Grade 12) and post matric qualification in Logistics, Supply Chain or related field.

• 3–5 years’ experience in dispatch and receiving coordination, ideally in a multi-DC or FMCG environment.
• Proficiency in ERP systems (SAP, Syspro) and Excel.
• Strong understanding of stock rotation principles, batch control, and traceability.

• Attention to detail.
• Excellent communication and presentation skills.
• Computer literacy: MS Office suite (Outlook, PowerPoint, Excel, Word).
• Written comprehension – the ability to read and understand information and ideas presented through spoken words and sentences.
• Good communication skills - English is a prerequisite.
• Ability to read and write in English and any other language(s).
• Good character and personality, hardworking, teamwork, service orientated, creative, innovative, trustworthy, open to learn from feedback.
