Administrative Assistant
(Addis Ababa, Ethiopia)
What you will do
To efficiently manage front office and administrative functions, ensuring smooth daily operations, professional customer service, accurate sales invoice administration, and compliance with company procedures while providing effective support to internal and external stakeholders.

Major Duties and Responsibilities
• Welcome and assist visitors, clients, and guests in a professional and courteous manner.
• Manage sales invoices by receiving, verifying, processing, recording, tracking, and filing invoices and supporting documents, ensuring accuracy, timely processing, and compliance with company procedures.
• Direct visitors to the appropriate departments, offices, or personnel.
• Answer, screen, and forward incoming telephone calls promptly and professionally.
• Maintain a clean, organized, and presentable reception area at all times.
• Provide accurate information and assistance to customers, visitors, and employees through phone, email, and in-person interactions.
• Receive, sort, record, and distribute incoming mail, packages, and deliveries.
• Ensure office security by following established procedures, maintaining visitor logs, and issuing visitor badges where required.
• Monitor office and front-office supplies, initiate replenishment requests, and maintain accurate inventory records.
• Establish, organize, and maintain both electronic and hard-copy filing systems for company records and partner documentation.
• Manage calendars, schedule meetings, and coordinate appointments for staff and management.
• Arrange travel bookings, transportation, accommodation, and prepare related travel documents and vouchers.
• Maintain accurate records of office expenses, administrative costs, and related reports.
• Perform clerical and administrative support duties, including filing, photocopying, scanning, data entry, and document preparation.
• Coordinate courier services and ensure the timely dispatch and receipt of company documents and packages.
• Coordinate and support special projects and other ad hoc administrative assignments as required.
• Assist in ensuring compliance with company administrative policies, procedures, and regulatory requirements.
• Support effective communication and coordination between departments, customers, suppliers, and external stakeholders.
• Maintain confidentiality of company information, records, and business documents.
• Perform any other duties and responsibilities assigned by the immediate supervisor.
Job Requirements
• Bachelor’s degree in management, Business Administration, Accounting, or a related field.
• Fresh graduates or candidates with up to one (1) year of relevant work experience are encouraged to apply.
• Good command of English language, both written and spoken.
• Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
• Strong communication and interpersonal skills with a customer-service orientation.
• Strong organizational skills and attention to detail.
• Team player with high integrity, reliability, and a continuous improvement mindset.
• Ability to work effectively under pressure and manage multiple priorities.
• Willingness to work on a temporary contract basis.
